Why just an EMR system is not enough?

The EVV mandate in 2020 brought many challenges for Medicaid Managed Licensed Home Care Agencies and Nurse Registries. Most providers ended up using 3 different systems, for example:  their EMR to keep their patients records, the Medicaid/EVV free aggregator systems for scheduling, EVV compliance and billing, and QuickBooks for payroll. This has caused some extra work when trying to enter/track everything in all three systems. Not to mention that providers who work with multiple insurances, will have to use two different app and two different portals for billing.  This situation  also leaves a lot of room for error with the potential for information to be entered incorrectly in one or all systems, -specially when the three systems do not interact with each other and everything has to be manually entered-

“Florida is an Open EVV state, meaning, providers can select the software they want to use for their daily operations of the agency. There are some solutions that offer one EVV tool (mobile App) to be used instead of the 2 offered “Free“ by the clearing houses HHAEXCHANGE and Tellus (now NETSMART).

Having said that I will explain how the process works using INMYTEAM Solution and should be the same for other software like Axxess or Alora etc

  1. Provider Starts using INMYTEAM as the software vendor for Scheduling, EVV, Payroll, HR, EMR, Documentation, Billing, and more.
  2. Your caregivers use only one app, the INMYTEAM APP, for EVV, Paperless timesheets, and more.
  3. INMYTEAM as an approved EVV vendor communicates seamlessly with HHAEXCHANGE and TELLUS sending them the EDI files for billing.
  4. INMYTEAM also gets the response back from both clearinghouses and is able to show the user of the agency if any error occurred with the visits and offer hints on how to fix them.
  5. Once HHAEXCHANGE and TELLUS accept the EDI FILES (the process should be done automatically by your software vendor) they run an overnight task and send the claims to the final payer, like HUMANA, Molina, Sunshine, etc.
  6. To complete the revenue cycle INMYTEAM and maybe other solutions allow the provider to upload the Remittance file from the payer (EDI 835) into the system so they can post the payments automatically.”
